**This is a hybrid role, must be able to commute to Downtown Vancouver, British Columbia**

Our client, a reputable university based in Vancouver, is seeking a polished, detail-oriented Executive Assistant to join our dynamic Executive Office. This newly created role supports senior leadership through a mix of high-level administrative support and coordination of priority projects. It’s an exciting opportunity for a corporate professional with exceptional organizational and communication skills who thrives in a fast-paced, collaborative environment.

Executive Assistant responsibilities:
  • Provide direct executive support to the office of the President: calendar management, scheduling, and meeting logistics.
  • Assist in coordinating and tracking project timelines and deliverables.
  • Prepare meeting materials, reports, and follow-up communications.
  • Help organize institutional events, committees, and internal initiatives.
  • Support key leaders including the President and Vice Presidents in daily operations.
  • Take on hands-on administrative tasks (e.g., setting up rooms, managing documents) as needed.
  • Contribute to an efficient, friendly, and high-functioning executive office.

The successful candidate has:
  • A polished professional with 3–5 years of experience in executive support, administration, or project coordination (corporate environment preferred).
  • A clear, efficient communicator—both in writing and in person.
  • Highly organized and structured, with a proactive mindset.
  • Friendly, discreet, and adaptable—you know how to work with busy leaders and shifting priorities.
  • Comfortable juggling detailed administrative work and fast-moving projects.
  • Someone who takes pride in a clean workspace, a well-run meeting, and a job well done—no task is too small.
