Our client, a leading private wealth management firm, is seeking a Portfolio Administrator to join their Private Client team in Vancouver. This is an exciting opportunity to play a key administrative role in a high-performing team and contribute to an exceptional client experience through reliable, detail-driven execution.
Portfolio Admin responsibilities:
  • Deliver proactive, high-level administrative support to the Private Client team to ensure smooth daily operations and consistent client service excellence.
  • Manage end-to-end client account administration—onboarding, documentation updates, account closures, and transfers—while ensuring full compliance with regulatory standards.
  • Maintain and accurately update client data and documentation using CRM and document management systems.
  • Prepare and edit client-facing materials, investment proposals, and tailored presentation decks.
  • Assist with the execution of client transactions by coordinating required documentation and ensuring timely settlement of funds.
  • Act as a key point of contact for client inquiries, providing professional and timely responses and follow-up.
  • Liaise with external custodians, consultants, and vendors to manage administrative requests and facilitate accurate, timely communication.
  • Support internal team operations through calendar coordination, workflow tracking, and administrative task execution.
  • Recommend and help implement process improvements to drive efficiency and enhance administrative workflows.

The successful candidate has:
  • 5–7 years of administrative experience in the investment, wealth management, or financial services industry is required.
  • Demonstrated tenure in prior roles is critical; this position requires a stable, consistent work history in professional financial environments.
  • Completion of or current enrollment in the Canadian Securities Course (CSC) is preferred; enrollment post-probation is required.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Adobe Acrobat.
  • Experience with Salesforce CRM is considered an asset.
  • Excellent organizational, problem-solving, and communication skills.
  • Proven ability to thrive under pressure while managing multiple priorities with poise and professionalism.
 Compensation and Benefits:
  • Competitive salary of $65,000 – $80,000, negotiable based on experience.
