Our client is a leading owner, developer, and manager of multiple global locations, founded in 1993. With a portfolio of 24 locations across 8 countries, they are dedicated to creating the finest customer experiences in retail and hospitality.

Position Overview: We are seeking a dynamic and proactive Operations Coordinator to oversee the operations, technical maintenance, and day-to-day management of our client’s facilities. This onsite role requires experience in retail, events, or hospitality, with a deep understanding of customer needs and experiences.
Reporting directly to the Facilities Manager, you will play a crucial role in ensuring customer satisfaction and maintaining high standards across all facilities. This includes implementing facility operations management policies, upholding safety and regulatory protocols, and managing relationships with 3rd party contractors, vendors, and suppliers. You will also support the development of a Facilities Assistant and oversee essential services such as cleaning, grounds keeping, and security.

Key Responsibilities:
  • Facility Operations Management: Oversee daily operations and maintenance to ensure optimal facility performance.
  • Staff Supervision and Training: Lead and develop a Facilities Assistant, ensuring they are equipped with the skills and knowledge needed.
  • Safety and Compliance: Ensure compliance with all safety regulations and company policies, maintaining a safe environment for all.
  • Inventory and Supplies Management: Manage inventory and supplies to ensure that all facility needs are met.
  • Customer and Stakeholder Communication: Maintain open and effective communication with customers, stakeholders, and senior management.
  • Emergency Preparedness: Develop and implement emergency preparedness plans to protect the facility and its occupants.
  • Reporting and Documentation: Keep accurate records and provide regular reports on facility operations and performance.
  • Continuous Improvement: Identify opportunities for operational improvements and implement solutions.
  • Budget Management: Assist in managing the facility’s budget, ensuring cost-effective operations.
  • 3rd Party and Vendor Relations: Manage relationships with 3rd party contractors and vendors, overseeing contracts and ensuring high service standards.
Qualifications:
  • Experience in operations coordination or management.
  • Understanding of electrical and mechanical systems.
  • Technical qualification (e.g., IOSH, NEBOSH, or equivalent).
  • Knowledge of local legislation and regulations in a commercial environment.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Project coordination experience.
  • Ability to manage 3rd party contractors and vendor relationships.
  • Strong customer and stakeholder interaction skills.
  • Knowledge of emergency preparedness protocols.
