Executive Assistant to the President
Job Description
We’re looking for an on-site Executive Assistant to the President in the corporate services sector, based in downtown Vancouver.
Our client is a mid-to-large sized organization with a polished corporate environment and a strong leadership team. This role is suited to a highly experienced Executive Assistant who thrives in a fast-paced setting, brings sound judgment and discretion, and enjoys being a trusted partner to a senior executive. The Executive Assistant will play a critical role in supporting the President while helping ensure smooth day-to-day operations at the leadership level.
Executive Assistant to the President responsibilities:
- Provide high-level, confidential administrative support to the President
- Proactively manage complex calendars, scheduling, and meeting coordination
- Coordinate domestic and international travel, including detailed itineraries and logistics
- Prepare briefing materials, reports, presentations, and correspondence on behalf of the President
- Act as a key point of contact between the President and internal teams, board members, and external stakeholders
- Attend meetings as required to take minutes and track follow-up actions
- Support board and leadership meetings, including agenda preparation and materials coordination
- Exercise discretion and sound judgment when handling sensitive information
- Assist with special projects and initiatives as assigned by the President
- Collaborate closely with the broader administrative and leadership teams to ensure alignment and efficiency
The successful candidate has:
- 5 to 8 years of experience in an Executive Assistant or senior administrative support role
- Previous experience supporting a C-suite executive within a medium to large organization
- Exceptional organizational and time management skills with the ability to manage competing priorities
- Strong written and verbal communication skills with a professional and polished approach
- High level of discretion and integrity when handling confidential information
- Advanced proficiency in Microsoft Office and familiarity with executive-level reporting and presentation materials
- Proven ability to anticipate needs and take initiative without direct instruction
- Strong interpersonal skills and confidence working with senior leaders and external partners
- Ability to remain calm, solutions-focused, and adaptable in a fast-paced environment
Compensation and benefits:
- $80,000- $100,000 CAD based on experienceÂ
