We’re looking for a hybrid Part Time Executive Assistant for a family run office in Vancouver. (20 hours a week)

As they continue to grow and evolve, they are looking for a dedicated, highly organized Part Time Executive Assistant to help keep operations running smoothly while bringing a structured and thoughtful approach to daily tasks. Part Time Executive Assistant responsibilities:
  • Meeting & Calendar Support – Schedule and coordinate meetings, manage agendas, take minutes, and ensure follow-ups.
  • Travel & Event Coordination – Organize family retreats, personal travel, and logistics.
  • Systems & Documentation Management – Implement and maintain centralized document storage, email organization, and task tracking.
  • Communication & Liaison – Act as the primary point of contact between family members and external advisors (lawyers, accountants, service providers).
  • Process & Workflow Improvement – Establish efficient administrative systems and expense tracking.
The successful candidate has: 
  • 5+ years of Executive Assistant or administrative experience, ideally in a family office, board governance, or high-level corporate setting.
  • Experience in professional services is preferred.
  • Able to take initiative, anticipate needs with the ability to solve problems and be resourceful.
  • Strong organization, problem-solving, and communication skills with acute attention to detail.
  • Proficiency in Microsoft Office, Google Suite, and project management tools (e.g., Asana, Trello).
  • Ability to work independently in a remote setting while maintaining discretion and confidentiality.
  • Tech-savvy and adaptable, with the ability to implement simple, no-code workflow automation tools (AI, Forms, ChatGPT, etc.).
  • Comfortable working with cybersecurity and work monitoring software.
  • Must be based in Vancouver with the ability to travel to the office when required.
  • Must be willing to undergo a background check and NDA agreement before onboarding.
Compensation and benefits:
  • The discussed salary range is $30.00 - $43.00 per hour, depending on experience
  • Candidates with additional experience and higher compensation expectations may also be considered
