Job Description
The Executive Assistant will provide comprehensive support to two busy Executives. The ideal candidate will possess exceptional communication and organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. This role requires a proactive and resourceful individual who can anticipate the needs of the Executives and effectively manage competing priorities with discretion and confidentiality. This is a hybrid role; however, this candidate must live in the Toronto area with the ability to be in a downtown office.
Executive Assistant Responsibilities:Â
- Manage multiple projects simultaneously while cultivating and maintaining strong relationships with the Executives as well as internal and external stakeholders
- Oversee a busy calendar of appointments, prepare expense reports, compose confidential correspondence, coordinate complex travel arrangements, and gather documentation for travel-related meetings as well as presentations.
- Organize and uphold the Executives’ schedule, acting as a gatekeeper and facilitating direct access to their time and office.
- Supporting Executives in varied time zones depending on their needs
- Collaborate closely with the Executives’, ensuring they are well-informed of upcoming commitments and responsibilities, and follow up accordingly.
- Serve as the Executives’ administrative point of contact, maintaining confidentiality and discretion in all interactions.
- Take a hands-on approach to completing important tasks, such as drafting acknowledgement letters, personal correspondence, and other duties that support the Executives’ effective leadership. This includes creating presentations for company-wide meetings, executive meetings, and external engagements.
- Research, prioritize, and address incoming issues and concerns directed to the Executives, including sensitive and confidential matters.
- A track record of 5+ years providing support to a Senior Executive in a dynamic, high-paced environment working in different time zones with clients
- Post secondary education or a degree is preferred
- Experience with marketing is an asset and preferred
- Strong attention to detail with the ability to work in different time zones across the world is a must
- Excellent business acumen and commitment to maintaining confidentiality.
- Strong proficiency in G-Suite, which includes Gmail, Docs, Drive, and Calendar. Additionally, proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Social Media platforms.
- Superior proficiency in both written and spoken communication, including outstanding interpersonal and communication skills.
- The ability to easily adapt to shifting circumstances and embrace change.
- Exceptional time management and organization skills, consistently meeting and exceeding deadlines.
- Adept at analytical thinking and resolving complex problems effectively.
- Able to work in a downtown Vancouver office 2-3 days a week
- Annual Salary: $85,000 - $100,000
