As an experienced executive assistant, you will be at the heart of our organization, supporting the President and his family of executives. family executives.
Executive Assistant Responsibilities:
- Oversee administrative duties related to the Board, encompassing payroll management, orchestrating meetings, compiling necessary documents, and documenting meeting minutes.
- Streamline the organization of meetings, including scheduling, document oversight, and capturing meeting highlights.
- Calendar management, ensuring seamless planning for the executives.
- Fulfill the role of a custodian for the company’s executives, safeguarding their interests and priorities.
- Implement proactive measures to track and prompt key deliverables, encompassing budgeting, projections, and strategic planning.
- Facilitate the coordination of Senior Leadership Meetings and Investment Committees.
Coordinating Special and Occasional Meetings:
- Strategically design, arrange, and execute social and professional gatherings and events for the President.
- Skillfully handle the logistical aspects of business travel arrangements for the executive team.
- Execute the coordination of impromptu or unique meetings and reviews as they arise.
- Administer and oversee specialized payments designated by the President, ensuring prompt processing.
- Handle the management of invoices and documentation pertaining to personal tax preparation, payment facilitation, and the approval of expenses.
- Effectively coordinate and maintain oversight of assigned tasks, whether internal or external in nature.
- Assisting with administrative responsibilities, including document preparation, invoice management, and expense approval.
The successful candidate has:
- A track record of 4+ years providing support to senior executives in a dynamic, high-paced setting.
- Proficiency in Microsoft Office Suite and related software applications.
- Demonstrated capability in managing and safeguarding sensitive, confidential information. Superior proficiency in both written and spoken communication, including outstanding interpersonal and customer service aptitude.
- Exemplary organizational talents coupled with a keen eye for detail.
- The ability to easily adapt to shifting circumstances and embrace change.
- Exceptional time management skills, consistently meeting and exceeding deadlines.
- Adept at analytical thinking and resolving complex problems effectively.
- The discussed salary range is $100,000 - $110,000 depending on experience
