Executive Administrator - Governance

Job Description
We’re looking for an Executive Administrator for our client, the Alberta Association of Architects (AAA), a professional regulatory organization.
The Alberta Association of Architects plays a vital role in regulating the practice of architecture and interior design in Alberta while protecting the public interest. As a respected, member-driven organization, AAA is committed to excellence in governance, professional standards, accountability, and service. The Executive Administrator will provide high-level administrative and operational support to the Executive Director, ensuring the efficient and effective functioning of the leadership office while supporting key governance and organizational initiatives.

Executive Administrator Responsibilities:
- Provide comprehensive administrative support to the Executive Director, including complex calendar management, meeting coordination, and correspondence
- Prepare and edit documents, reports, presentations, and executive communications with a high degree of accuracy and professionalism
- Coordinate Board and committee meetings, including agenda preparation, minute-taking, distribution of materials, and follow-up on action items
- Act as a liaison between the Executive Director, Board members, internal teams, and external stakeholders
- Handle sensitive and confidential information with discretion, professionalism, and sound judgment
- Support special projects, organizational initiatives, and events, ensuring timelines and deliverables are met
- Maintain organized records and recommend improvements to administrative processes and operational efficiencies
The Successful Candidate Has:
- 5+ years of experience in a senior administrative, executive assistant, or executive support capacity
- Post-secondary education in Business Administration or a related field, or an equivalent combination of education and experience
- Proven experience supporting senior leadership, with direct exposure to Board governance activities required
- Experience within a non-profit, association, regulatory, or professional services environment considered an asset
- Exceptional organizational, prioritization, and time management skills with the ability to manage multiple competing priorities
- Strong written and verbal communication skills with outstanding attention to detail
- A professional, proactive, and adaptable approach with the ability to work independently and anticipate leadership needs
- Willingness and ability to travel to Calgary approximately every second month
Compensation and Benefits:
- The discussed salary range is $70,000 – $80,000 depending on experience
- Candidates with additional experience and higher compensation expectations may also be considered
