Our client, based in the Junction Area of Toronto, is looking for an Executive Assistant to work fully in the office. Our client is a leading food processing company dedicated to delivering high-quality products to consumers across Canada and globally. This newly designed role will provide comprehensive support to a busy President and Manager. The ideal candidate will possess exceptional communication and organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. This role requires a proactive and resourceful individual who can anticipate the needs of the CEO and effectively manage competing priorities with discretion and confidentiality.

Executive Assistant responsibilities:
  • Administrative Support: Manage complex calendars, schedule meetings, and coordinate travel arrangements. Handle correspondence, emails, and phone calls promptly and professionally.
  • Project Management: Assist in managing various projects, including real estate development initiatives. Coordinate with internal teams and external stakeholders to ensure deadlines are met and objectives are achieved.
  • Document Preparation: Prepare reports, presentations, and other documentation as needed. Conduct research and gather data to support decision-making processes.
  • Financial Management: Assist with budget preparation and expense tracking. Process invoices and maintain accurate financial records when required.
  • Communication Liaison: Serve as a central point of contact for internal and external communications. Facilitate communication between executives, departments, and external partners.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  • Special Projects: Take on special projects and assignments as directed by the President and Manager. Provide additional support as needed to ensure the smooth operation of the manufacturing plant.
The successful candidate has: 
  • 5+ years of experience supporting a business owner or president of an organization in a Senior Administrator or Executive Assistant capacity
  • Bachelor's degree in Business Administration, Real Estate, or related field is an asset
  • Proven experience as an Executive Assistant or similar role, preferably in a manufacturing or real estate environment is a must
  • Knowledge of corporate commercial real estate development processes and terminology is a strong asset
  • Experience in a manufacturing
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Able to execute on tasks quickly, adaptable to changing priorities, strong team player, able to maintain a calm demeanor in a fast-paced environment
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) 
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
Compensation and benefits:
  • The discussed salary range is $70,000 – $90,000 depending on experience
  • Candidates with additional experience and higher compensation expectations may also be considered.
