Office Manager
Job Description
We’re looking for an on-site Office Manager for a global chemical manufacturing organization based in downtown Vancouver.
Our client is a well-established, international company with a professional corporate head office and operations spanning multiple regions. They are known for a strong safety culture, operational excellence, and a collaborative, people-focused workplace. The Office Manager will oversee day-to-day office and facilities operations while supporting cross-functional teams and contributing to a safe, welcoming, and well-organized corporate environment.
Office Manager responsibilities:
- Oversee the daily operations of the Vancouver head office, including space planning, workplace setup, and coordinated office moves
- Manage facilities services such as security, parking, janitorial support, maintenance, office equipment, and kitchen and office supplies
- Coordinate the sourcing, installation, and maintenance of office furniture, fixtures, and equipment
- Act as the primary liaison with building management and external service providers, including support for emergency and business continuity procedures
- Coordinate regular office maintenance projects and support minor renovations as required
- Facilitate office orientations for new employees to support a smooth onboarding experience
- Maintain shared business services resources and internal documentation
- Review, process, and approve invoices and expense submissions related to facilities and office operations
- Conduct regular office walkthroughs and inspections to ensure health, safety, and cleanliness standards are maintained
- Administer corporate memberships and oversee front desk and reception services, including backup coverage when needed
- Manage vendor relationships related to facilities, office services, and procurement
- Track office assets and inventory and oversee purchasing activities
- Manage the office operating budget with a focus on accuracy and cost efficiency
- Provide administrative and logistical support to the local site leadership team, including meeting coordination and action tracking
- Support on-site meetings, visiting stakeholders, and internal or global events
- Support internal committees and employee groups, maintaining strong communication with committee leads and executive sponsors
- Actively participate in at least one internal workplace committee
- Manage the local corporate travel program, including coordination with preferred travel vendors
- Support office culture initiatives, events, and employee engagement activities, including coordination of catering and logistics
- Act as a business partner to IT for office-wide technology initiatives, system rollouts, and user adoption
- Assist with testing, troubleshooting, and change management related to new office systems and applications
The successful candidate has:
- 8-10 years of experience in an office management, facilities, or workplace operations role, ideally within a corporate or industrial environment
- Strong organizational, multitasking, and time management skills
- Excellent communication and interpersonal abilities with a collaborative, service-oriented approach
- Proven experience managing vendors, budgets, and competing priorities
- Comfort working with technology and supporting system implementations or process improvements
- Experience coordinating corporate travel and managing vendor contracts
- Ability to work independently while collaborating effectively across teams
- Event planning or office engagement coordination experience
- Working knowledge of office health and safety practices
- Proficiency with Microsoft Office and familiarity with common workplace technology systems
Compensation and benefits:
- The discussed salary range is $75,000- $90,000, depending on experience
