Job Description


We are seeking a highly organized and experienced Administrative Assistant to join a mission-driven organization based in Vancouver, British Columbia. 

As the Administrative Assistant, you will play a key role in ensuring smooth daily operations of the office. You’ll support senior staff, manage office procedures, and contribute to a collaborative, service-oriented environment. This is an onsite role requiring fluency in both English and Mandarin.

Administrative Assistant responsibilities:
  • Oversee and coordinate the daily administrative functions of the office
  • Manage calendars, schedule meetings, and organize internal and external events
  • Maintain organized filing systems—both digital and physical
  • Handle incoming and outgoing communications, ensuring timely responses
  • Monitor and replenish office supplies and equipment, coordinating with vendors
  • Draft and update internal policies and procedural documentation
  • Process invoices, track expenses, and support basic bookkeeping tasks
  • Provide excellent customer service to clients, staff, and visitors
  • Assist with onboarding and training of new administrative staff
  • Supervise junior administrative personnel and provide operational guidance

The successful candidate will have: 
  • 5+ years of experience in administrative support, preferably in non-profit, education, or social services sectors
  • Fluency in Mandarin and English (spoken and written) is required
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with QuickBooks or accounting software is an asset
  • Strong organizational and time management skills, with attention to detail
  • Ability to manage multiple priorities in a fast-paced, mission-driven environment
  • Excellent interpersonal and communication skills
  • A post-secondary degree is preferred; a high school diploma or equivalent is required

 
What you can expect from the company: 
  • Salary range $55,000- $65,000
