Job Description


We are currently seeking a proactive and highly organized Office Administrator with a strong understanding of accounting principles to support our administrative and financial operations. This role will combine office management tasks with essential accounting support, making it ideal for a versatile and detail-oriented individual.

Position Overview: The Office Administrator & Accounting Support will be responsible for managing the day-to-day operations of the office, ensuring smooth administrative processes, and providing critical support to the accounting team. The ideal candidate will be highly organized, have excellent multitasking abilities, and possess a strong understanding of basic accounting practices. This role requires someone who can manage both administrative duties and assist with financial tasks efficiently.

Key Responsibilities:

Office Administration:
  • Serve as the primary point of contact for office operations, including answering phone calls, managing emails, and greeting visitors.
  • Maintain office supplies, order inventory, and coordinate with vendors for office-related purchases and services.
  • Organize and maintain office files, both physical and digital, ensuring proper documentation and easy retrieval.
  • Coordinate scheduling for meetings, appointments, and office events.
  • Handle incoming and outgoing mail and packages, ensuring timely delivery and distribution.
  • Assist with onboarding new employees, including preparing office supplies and coordinating orientations.
  • Manage office equipment, ensuring it is in good working condition and arranging repairs when necessary.

Accounting Support:
  • Assist with basic bookkeeping tasks such as processing invoices, entering data into accounting software, and maintaining accurate financial records.
  • Help with accounts payable and receivable functions, including tracking invoices, processing payments, and following up on overdue accounts.
  • Reconcile bank statements and assist with monthly and year-end financial reporting.
  • Support payroll processing and ensure proper documentation of employee deductions and benefits.
  • Assist with preparing financial reports and statements for management review.
  • Provide general administrative support to the accounting team, including filing and organizing financial documents.
  • Ensure compliance with company policies and accounting standards.

Qualifications:
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred.
  • Proven experience in office administration (2+ years) and basic accounting support (1+ year).
  • Strong understanding of office management and administrative processes.
  • Basic knowledge of accounting principles, including accounts payable, accounts receivable, and payroll.
  • Proficiency in accounting software (experience with Sage and QuickBooks) and Microsoft Office Suite (especially Excel).
  • Strong organizational and multitasking abilities, with excellent attention to detail.
  • Ability to handle sensitive information with confidentiality.
  • Excellent communication skills, both written and verbal.
  • A proactive, self-motivated attitude with the ability to work independently and as part of a team.
Compensation and benefits:
  • The discussed salary range is $50,000 â€“ $60,000 depending on experience
  • Candidates with additional experience and higher compensation expectations may also be considered
