Job Description
We’re looking for a hybrid Portfolio Administrator in the wealth management industry.
Our client, a respected private wealth management firm in Vancouver, is distinguished by its client-centric approach and disciplined investment strategies. The team prides itself on delivering personalized service to high-net-worth individuals, trusts, and family offices. The Portfolio Administrator role is critical to supporting these clients and advisors with expert administrative and operational management in a collaborative environment.
Portfolio Administrator responsibilities:
- Provide dedicated administrative support for a portfolio of high-net-worth clients, trusts, and family entities
- Manage client account lifecycles including onboarding, documentation updates, account maintenance, transfers, and closures
- Maintain meticulous client records and documentation in CRM and internal systems (Salesforce experience is an asset)
- Prepare and update client reports, investment summaries, and meeting materials under advisor guidance
- Coordinate transaction documentation and ensure timely processing and settlement of funds and securities
- Serve as a professional, reliable point of contact for client inquiries and internal stakeholders
- Liaise with custodians and external partners to facilitate operational needs and client requests
- Ensure compliance by maintaining accurate records and adhering to regulatory and firm policies
- 3+ years of continuous tenure in the wealth management industry with strong administrative or operational experience
- Deep knowledge of various investment account types including RRSP, RRIF, TFSA, RESP, non-registered accounts, trusts, and estates
- Solid understanding of investment terminology and concepts such as capital gains/losses, income types, and KYC/AML procedures
- Canadian Securities Course (CSC) enrollment or completion preferred
- Proficiency in Microsoft Office, especially Excel and PowerPoint; experience with Adobe Acrobat and Salesforce is advantageous
- Exceptional attention to detail, organization, and ability to manage multiple priorities in a fast-paced environment
- Excellent professional communication skills with a commitment to superior client service
- Salary range $60,000 – $70,000, commensurate with experience
- Three weeks of vacation
